Admin and Operations Coordinator
Brownbody is a St. Paul -based performing arts organization with a mission "to liberate Black artistry through dance, theater, and figure skating." Established in 2007, Brownbody received its 501c3 (non-profit) status in 2013. Brownbody brings stories/topics important to Black and African diasporic communities from the peripheries of mainstream consciousness to “center stage” thereby making the ice welcoming to Black communities. Job Summary: Brownbody is seeking a highly organized and detail-oriented Operations Coordinator professional to provide comprehensive support across all aspects of the organization. This role has significant potential for growth and is crucial in ensuring the smooth and efficient operation of Brownbody, supporting artistic productions, donor relations, human resources, and business management. The ideal candidate will be a proactive problem-solver with excellent communication and interpersonal skills, and have a passion for Brownbody’s mission and values. Responsibilities (including but not limited to): Support to Leadership: Provide administrative and operational support across the organization, including direct support to the Artistic/Executive Director (AED). Administrative Tasks: Develop and implement systems and workflows, maintain the company directory, manage mail, inboxes, and internal communications, organize and secure physical and digital files, ensure data integrity and security, order office supplies and parking passes, and run errands as needed. Meeting Coordination: Schedule meetings and send invites, secure meeting venues, provide craft services for meetings and rehearsals, record and distribute meeting agendas and minutes. Volunteer Management: Coordinate and manage volunteers and volunteer hours, develop and maintain volunteer management systems. Donor & Grantmaking Support: Maintain and update the CRM database, track donations, and create and distribute donor acknowledgment letters and cards. Marketing Support: Assist with website maintenance and updates, support the creation and distribution of e-blasts, and assist with social media marketing activities. Production Support: Manage travel and accommodations for artists, facilitate artist pickups and welcome orientations. Board & Committee Support: Manage logistics for board and committee meetings, provide administrative support and facilitate board communication, prepare and distribute board packets, and take and transcribe board meeting minutes. Operational Support: Manage onboarding processes, draft and manage agreements and performance reviews, ensure compliance with HR, legal and financial management requirements, and interface with accountants, lawyers, and HR consultants as needed. Collaboration: Work with leadership to prioritize tasks. Qualifications: ● 3+ years of proven experience as an Administrative Assistant, Office Manager, or in a similar administrative role. ● Demonstrated experience in a non-profit or arts organization is highly desirable. ● Excellent organizational and time-management skills, with the ability to prioritize and manage multiple tasks effectively in an organization rooted in a dynamic and emergent environment. ● Strong attention to detail and accuracy in all work. ● Reliable transportation ● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace ● Preferred experience with database and CRM software (e.g. Little Green Light) ● Excellent written and verbal communication skills, with the ability to interact professionally with diverse stakeholders. ● Ability to work independently, take initiative, and contribute as a collaborative team member. ● Experience with social media management and content creation. ● Basic website maintenance and update experience (WordPress) ● Experience with travel coordination and logistics. ● Experience with HR onboarding processes. ● Proficiency in graphic design ● Ability to handle sensitive and confidential information and data. ● Ability to transport items as needed including, but not limited to, bins of equipment (skates, helmets, etc) and production elements Expectations: ● Weekend and evening availability as needed ● Be available by phone via call/text. ● WhatsApp Physical Requirements: ● Occasionally there are set up and tear down needs which require the admin to lift up 40 pounds Details: ● Full time (32 hours per week) with growth potential ● Non-exempt employee ● Four-day work week (Tuesday - Friday) ● Hybrid with 1-2 days/week in Brownbody’s downtown St. Paul office ● $27-29 per hour ● Monthly health care stipend ● Flexible schedule.
