The Hybrid Medical Records & Data Entry Project Associate position is a cornerstone of our revenue recovery initiatives. In this role, you will be the bridge between raw clinical data and actionable financial insight. By retrieving, processing, and validating patient records, you help ensure that our clients receive the full reimbursement they are entitled to—directly impacting the financial health of healthcare organizations and, ultimately, the quality of patient care. This is a full‑time, hybrid opportunity based in West Hempstead, offering a balanced mix of remote work and on‑site collaboration (approximately two to three days per week in the office).

Key Responsibilities

  • Medical Record Retrieval: Access and extract patient medical records from a variety of hospital information systems, ensuring completeness and accuracy.
  • Itemized Billing Preparation: Generate detailed patient bills in formats required for internal reviews and external audits, adhering to regulatory standards.
  • Data Extraction & Entry: Accurately input critical data into hospital patient accounting systems, maintaining data integrity across multiple platforms.
  • Provider Communication: Conduct professional phone outreach to post‑acute care facilities to gather missing information, clarify billing details, and resolve discrepancies.
  • Report Generation: Create, run, and distribute regular reports that track recovery progress, identify trends, and support decision‑making for the recovery team.
  • Information Gathering Support: Assist the recovery team with ad‑hoc data collection, research, and documentation tasks as needed.
  • Scanning & Indexing: Digitally scan, index, and organize documents to ensure quick retrieval and compliance with record‑keeping policies.
  • Collaboration & Continuous Improvement: Work closely with nurses, coders, and billing professionals to refine processes, share insights, and contribute to a culture of excellence.

Essential Qualifications

  • High school diploma or equivalent; associate’s degree in health information management, business administration, or a related field is preferred.
  • Minimum of 1–2 years of experience in medical record handling, data entry, or health‑care administrative support.
  • Proficiency with Microsoft Excel, including formulas, pivot tables, and data visualization tools.
  • Strong analytical mindset with the ability to spot inconsistencies and resolve data gaps quickly.
  • Excellent written and verbal communication skills; professional phone etiquette is essential.
  • Demonstrated ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
  • Familiarity with electronic health record (EHR) systems and hospital billing platforms is a strong advantage.
