Position Overview The Licensed Diagnostic Assessor, Lead serves as both a clinical provider and operational leader for the Assessment Department. This role is responsible for conducting diagnostic assessments while overseeing assessment workflows, scheduling efficiency, communication standards, and departmental productivity. The Licensed Diagnostic Assessor, Lead ensures assessments are completed in a timely manner, families receive clear and consistent communication throughout the assessment process, and assessment staff remain accountable to agency expectations. This position acts as the primary point of contact for assessment operations and serves as the liaison between the Assessment Team, Clinical Leadership, and Administrative Departments. The Licensed Diagnostic Assessor, Lead will oversee assessment scheduling, monitor assessment completion timelines, coordinate reschedules, track productivity metrics, provide support and guidance to assessors, and identify process improvements that enhance client access and operational efficiency.

Key Responsibilities

Clinical Assessment Duties Conduct comprehensive mental health assessments using DSM-5 criteria and agency-defined protocols. Provide diagnostic impressions, clinical recommendations, and treatment planning guidance. Deliver assessment services in community settings, schools, homes, offices, and other approved locations. Maintain timely, accurate, and compliant clinical documentation within the EHR. Ensure all assessment reports are completed within agency-established timelines. Collaborate with providers, referral sources, community partners, and treatment teams to support continuity of care. Uphold all ethical, confidentiality, and compliance standards. Assessment Department Leadership Provide day-to-day oversight of the Assessment Team. Monitor assessor caseloads, productivity, scheduling efficiency, and assessment completion rates. Ensure assessments are assigned appropriately and completed within required timelines. Track assessment referrals from intake through completion and transition to ongoing services. Conduct regular review of pending, overdue, canceled, and rescheduled assessments. Identify workflow bottlenecks and implement solutions to improve department efficiency. Support onboarding and training of new assessors. Serve as a resource and mentor to assessment staff regarding policies, procedures, and best practices. Assist leadership with performance monitoring and accountability measures for assessment staff. Scheduling & Operations Oversight Oversee assessment scheduling processes to ensure optimal utilization of assessor availability. Manage assessment reschedules, cancellations, and no-show follow-up procedures. Ensure assessment appointments are accurately maintained and updated in scheduling systems. Coordinate directly with families, referral sources, and internal staff regarding assessment scheduling needs. Maintain visibility of assessor calendars and proactively address scheduling conflicts. Ensure assessment staffing coverage is maintained during absences and schedule changes. Reduce reliance on Front Desk staff by assuming primary operational ownership of assessment scheduling workflows. Client & Family Communication Ensure timely and professional communication between assessors, clients, and families. Monitor responsiveness to client inquiries related to assessments. Assist in resolving scheduling concerns, service barriers, and communication issues. Promote a positive client experience throughout the assessment process. Serve as an escalation point for assessment-related concerns before involvement from Clinical Leadership. Reporting & Quality Assurance Maintain department tracking systems for referrals, scheduled assessments, completed assessments, reschedules, cancellations, and pending cases. Generate weekly and monthly reports regarding assessment department performance. Monitor documentation compliance and assessment turnaround times. Provide regular updates to agency leadership regarding departmental performance, trends, and operational challenges. Participate in quality improvement initiatives and process development efforts. Team Collaboration Work collaboratively with Clinical Leadership, Intake, Billing, and Administrative teams to support efficient client access. Participate in leadership meetings and agency initiatives. Assist in developing policies, procedures, and workflows related to assessment services. Perform other duties as assigned in support of agency goals and service excellence. QUALIFICATIONS Bachelor's or Master's degree in Counseling, Social Work, or a related behavioral health field. Current and active Ohio licensure required (LSW, LISW, LPC, LPCC). Minimum of 3-5 years of diagnostic assessment experience. Previous leadership, supervisory, team lead, or operational coordination experience preferred. Strong knowledge of DSM-5 diagnostic criteria and evidence-based assessment practices. Demonstrated ability to manage workflows, deadlines, scheduling systems, and staff accountability. Excellent organizational, communication, and problem-solving skills. Proficient in Microsoft Office, EHR systems, scheduling platforms, and telehealth technologies. Ability to work independently while effectively leading and supporting a team. CPR/First Aid certification and de-escalation training (CPI or NCI) completed within 90 days of hire. Valid driver's license, reliable transportation, and acceptable driving record required.
