Personal Assistant – Remote | Flexible Hours

• Who We Are

  • We're a small group of US-based businesses — a tax and accounting practice (Long Island Tax Resources / 707 Technologies), a subscription bookkeeping platform (GuidedLedger), a beauty salon franchise location performing Brazilian Waxing (The Pampered Peach, Lake Ronkonkoma NY), and an electrical contracting company (NYS Essential Power). The principal operates remotely and is based between New York and Italy.
  • We're a low-drama, flexible operation. Nobody is going to micromanage you or expect you at a desk for eight hours straight.
  • What the Job Actually Is
  • Mostly, we need someone friendly, organized, and reliably reachable who can be the first voice our clients and customers hear.
  • Call volume is low — maybe 50-60 calls a week across everything. On quiet days there won't be much at all. When the phone rings, we need someone who answers it professionally, handles what they can, and knows when to loop in the right person.
  • Beyond phones, you'll help keep things organized — following up on outstanding items, sending a document request, scheduling an appointment, drafting a quick email. Nothing complicated. The job is really about being responsive and making sure small things don't fall through the cracks.
  • A typical day might look like:
  • Answer a few inbound calls for the tax practice or salon
  • Follow up with a client who hasn't sent their documents yet
  • Book or reschedule a salon appointment in Meevo (web-based, easy to learn)
  • Respond to a lead inquiry for GuidedLedger
  • Send a quick status update to a client on behalf of the principal

That's mostly it. Some days are slower. Occasionally something more involved comes up, and we'll handle it together. What We Need From You

  • Warm, professional phone presence — you're representing us to US clients and business owners
  • Reliable availability during US Eastern business hours, Monday–Friday
  • Saturday morning availability 9 AM–3 PM ET for salon phone and booking coverage (this is the one firm window)
  • Organized and responsive — if something lands in your lap, it gets handled or flagged, not forgotten
  • Comfortable with basic web tools (we'll walk you through everything we use)
  • Good written English for emails and messages; excellent spoken English for calls
  • Reliable internet and phone connectivity at all times during your availability window — missed calls are the one thing we have zero tolerance for. If you need time off, just ask. Going dark without notice isn't okay.
  • What This Is Not
  • This is not a high-pressure role with strict hours and constant deliverables. It's a flexible arrangement built around phone availability and light admin support. If you're someone who's organized, good with people, and wants steady remote income without being glued to a desk — this is a good fit.
  • We're also fine if you have another remote job on the side. As long as our calls get answered and our clients are taken care of, we're not interested in owning your entire day. For the right person, there are also commission opportunities tied to our bookkeeping platform — something to grow into if you're interested, never required.
