Role Overview

We are seeking a meticulous, self‑motivated Remote Data Entry Specialist to join our e‑Filing Operations team. In this role, you will be the frontline guardian of document integrity, reviewing, validating, and filing legal paperwork through careerzynith’s proprietary online platforms. You will collaborate closely with the e‑Fulfillment and e‑Filing squads, troubleshoot discrepancies in real time, and contribute to continuous‑improvement projects that enhance the speed and accuracy of our services. This position is fully remote, offering you the flexibility to work from any location while staying connected to a vibrant, supportive community of legal‑tech professionals.

Key Responsibilities

  • Review incoming legal documents—complaints, motions, notices, and other filings—using careerzynith’s internal case management system and email channels.
  • Accurately enter data into the e‑Filing platform, ensuring that every field, attachment, and metadata element complies with court‑specific formatting rules.
  • Identify and investigate discrepancies, such as missing signatures, incorrect docket numbers, or formatting errors, and resolve them in partnership with the originating attorney or internal teams.
  • Maintain a high‑volume queue of documents while adhering to strict turnaround‑time targets and quality‑control standards.
  • Participate in ongoing training sessions, webinars, and knowledge‑share forums to stay current on evolving court rules, software updates, and best practices.
  • Document process improvements, contribute ideas for automation, and assist in pilot projects that streamline the e‑Filing workflow.
  • Provide timely status updates to supervisors and stakeholders, flagging any systemic issues that could affect service delivery.
  • Support ad‑hoc initiatives, such as data‑migration tasks, audit preparations, and special reporting requests, as assigned by the e‑Filing leadership.

Essential Qualifications

  • High school diploma or GED; additional education or certifications in business administration, legal studies, or related fields are a plus.
  • Demonstrated ability to read, write, and speak fluent English with strong written communication skills.
  • Exceptional attention to detail and a proven track record of delivering error‑free work in repetitive, high‑volume environments.
  • Typing speed of 50–60 words per minute with a high degree of accuracy.
  • Basic proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort navigating web‑based applications.
  • Ability to work independently, manage time effectively, and meet deadlines without direct supervision.
  • Strong team orientation, with a willingness to collaborate, share knowledge, and support colleagues across time zones.

Preferred Qualifications & Skills

  • Prior experience in data entry, document processing, or administrative support—especially within legal, financial, or regulated industries.
  • Technical aptitude: familiarity with cloud‑based platforms, document management systems, or basic scripting (e.g., macros) to enhance efficiency.
  • Understanding of court filing procedures, docketing conventions, and the broader legal documentation lifecycle.
  • Experience with remote work tools such as Slack, Microsoft Teams, Zoom, and project‑management software (e.g., Asana, Trello).
  • Problem‑solving mindset: ability to diagnose root causes of filing errors and propose corrective actions.
  • Commitment to continuous learning—eagerness to pursue certifications or training that deepen legal‑tech expertise.
